147 Response to Request for Student Educational Record (Transcript)

This Draft Standard for Trial Use contains the format and establishes the data contents of a Response to Request for Student Educational Record (Transcript) Transaction Set (147) within the context of an Electronic Data Interchange (EDI) environment. This transaction set is used to advise the requesting institution regarding when the record will be sent or why it will not be sent.


Max use
  1. To indicate the start of a transaction set and to assign a control number

  2. To indicate the beginning of a transaction set.

  3. To specify the validity of the request and to indicate follow-up action authorized.

    The AAA segment is used to indicate why the requested record is not being sent.
  4. To specify identifying numbers.

    The REF segment contains the student identification numbers. In addition, one occurrence is used to send back the requestor's transaction set reference number.
  5. To identify the type and transmission of paperwork or supporting information

  6. To transmit information in a free-form format, if necessary, for comment or special instruction

    1. To identify a party by type of organization, name and code

      The N1 loop identifies the sending and receiving institutions.
    2. To specify additional names or those longer than 35 characters in length

    3. To specify the location of the named party

    4. To specify the geographic place of the named party

    5. To identify a person or office to whom administrative communications should be directed

  8. IN1 Loop Mandatory

    1. To provide identification of an individual or entity

      The IN1 loop indicates the name of the student.
    2. To sequence individual name components for maximum specificity

  9. To indicate the end of the transaction set and provide the count of the transmitted segments (including the beginning (ST) and ending (SE) segments).
