Getting started as a biller in the Stedi portal

Billers work claims across several payers. Each payer has its own portal, with its own login, layout, and steps. Every new payer adds another portal to learn.

With the Stedi portal, you get one UI that works the same way across payers. You can use the Stedi portal to check coverage, submit and fix claims, track denials, and reconcile payments.

This guide covers the parts of the Stedi portal you'll use most as a biller.

Verify insurance with Agentic Discovery

Claim rejections and denials often start with incorrect insurance information. Re-verifying the patient's coverage before submitting a claim can catch problems like mistyped member IDs early.

Agentic Discovery finds a patient's coverage and benefits in one step. It runs an eligibility check. If the check fails, it tries to recover it. If recovery fails, it runs an insurance discovery check, which can find coverage from basic details like the patient's name and date of birth.

Agentic Discovery also works on denied claims. If the payer denies a claim for coverage, Agentic Discovery can find the right payer and member ID before you resubmit.

Standard eligibility checks

You can also run standard eligibility checks in the Stedi portal. You can run checks one patient at a time or in batches from a CSV.

Find claims that need work

The claims view is where you'll spend most of your time in the Stedi portal.

The claims view lists every claim you submit through Stedi. Each claim shows its current processing status, like Accepted, Rejected, or Denied.

You can filter claims by status, payer, patient, billing provider, service date, and amount. For example, filter to Rejected claims to see claims to fix and resubmit.

Use the Amount paid filter's Exactly $0.00 option to find unpaid claims.

Fix rejected claims and resubmit

When you're ready to work on a claim, click it from the claims view to open its timeline.

A claim's timeline in the Stedi portal

The timeline shows the claim's processing activity, from submission to payment. It includes every submission, its 277CA claim acknowledgments, and payment information from Electronic Remittance Advice (ERAs). You can trace a claim's full history, including resubmissions, from the first attempt.

If the payer rejects a claim, its claim acknowledgments show the payer's status codes and error messages.

You can edit and resubmit a rejected claim from its timeline. You can open professional claims in our CMS-1500 form. All claim types – professional, dental, and institutional – support X12 resubmission.

Submit professional claims

You can submit professional claims in the Stedi portal using the CMS-1500 form.

Claim edits and repairs

The form checks the claim for errors as you fill it out. Stedi doesn't submit the claim until you fix every error.

The checks include Stedi's claim edits. Claim edits mirror the checks payers perform. When a claim fails an edit, you get a plain-language error that tells you what to fix. The claim stays in the form, so you don't get a rejection to correct later. Stedi also uses repairs to fix some problems automatically, like a phone number with hyphens a payer won't accept.

Payers accept 98% of claims submitted through Stedi. To learn more, see How we build our claim edits database.

See denials and payments on the claim

After the payer adjudicates a claim, it sends an ERA. The ERA explains what the payer paid and why.

On the claim's timeline, each ERA adds a claim payment information card. The card shows the amount charged, the amount paid, and the patient's responsibility.

Click the card to open the claim payment information details. The details show claim-level and service line adjustments. If the payer denied the claim, they also show the denial reasons. Use the denial reasons to decide whether to correct and resubmit the claim or file an appeal.

Follow up on stalled claims

If a claim stays in Received status longer than expected, or you haven't received an ERA 21 days after submission, run a claim status check to see where the claim stands with the payer.

Reconcile claim payments

Review ERAs

The ERA view lists every ERA you receive through Stedi. You can filter ERAs by payer, payee, payment date, total paid, or trace number. For check payments, the trace number is the check number.

Each ERA shows the claims it pays and the adjustments on each claim. You can download an ERA PDF for one claim or for every claim in the ERA.

Match payments to ERAs with Stedi Treasury

Reconciliation is the process of matching each claim to its ERA and payment. Stedi Treasury offers automatic reconciliation. Stedi matches each electronic funds transfer (EFT) to its ERA for you.

With Stedi Treasury, you enroll providers for EFTs with the same transaction enrollment process you use for ERAs. Payers then send EFTs to a Treasury account in the provider's name. Stedi pays out the full amount to the provider's bank account as a same-day ACH payment.

If you submit claims and receive ERAs through Stedi, you can trace each payment back to its ERA and claim.

Deposit paper checks with Stedi Lockbox

Some payers still mail paper checks. Stedi Lockbox scans those checks and deposits them into the Treasury account. Check deposits appear in the portal the same way EFTs do.

Find missing ERAs

The My Payers view lists every payer you exchange claims or ERAs with through Stedi. If you've submitted claims to a payer but haven't received ERAs within 21 days, you may need to complete ERA transaction enrollment.

Export claims and ERAs

You can export a filtered list of claims or ERAs as an Excel file. You can use these exports for month-end reports or manual reconciliation in another system.

Download claim and ERA PDFs

You can also download individual claims and ERAs as PDFs. For a professional claim, download a CMS-1500 PDF from the claim's timeline.

For an ERA, download one PDF for the whole ERA or a separate PDF for each claim it pays.
