Set up Stedi Lockbox

To start receiving mail through Stedi Lockbox, you create a lockbox for a billing entity, then direct payers to send mail to it.

Before you begin

Before you create a lockbox, make sure you have the following:

  • Stedi Treasury: Stedi deposits checks from the lockbox into the billing entity's Treasury account. You must create a billing entity in Stedi Treasury before you create its lockbox. Contact Stedi Support to request access to Stedi Treasury.
  • Production mode: Stedi Lockbox isn't available in test mode. Toggle Test mode to OFF in the side navigation.

Create a lockbox

You can create one lockbox for each billing entity.

  1. Go to the Lockboxes page and click New lockbox.
  2. Under Billing entity, select the billing entity that receives the checks sent to this lockbox.
  3. Under Address, select the location where Stedi processes your mail: Dallas, TX, New York, NY, or San Francisco, CA. Stedi processes mail the same day at all locations. Choosing the location closest to where your payers mail from can lead to faster processing.
  4. Under Recipient name, set the name that payers write on the mail. By default, the Same as billing entity name checkbox is selected, and the recipient name is the billing entity's name. To use a different name, clear the checkbox, then enter the name in the Recipient name field.
  5. Read and accept the Stedi Lockbox Mail Authorization. By creating the lockbox, you certify that you're authorized to act on behalf of the billing entity.
  6. Click Create lockbox.

Stedi creates the lockbox and opens its details page. The Mailing address section shows the lockbox address to use as the pay-to address on your claims and to give payers. Click the copy button to copy the full address, including the recipient name.

If the address shows Pending on the Lockboxes page, Stedi is still setting it up. The address appears when it's ready.

Add the lockbox address to claims

To have payers send paper checks and other claims-related mail to your lockbox, put the lockbox address in the claim's pay-to address. Payers use the pay-to address for payments and mail about the claim.

To set the pay-to address, upload the claim as X12 EDI. Put the lockbox address in Loop 2010AB (Pay-to Address Name) N3 (Pay-To Address Line) and N4 (Pay-To Address City, State, ZIP Code).

The CMS-1500 claim form in the Stedi portal doesn't support a pay-to address. To send a lockbox address on a professional claim, upload the claim as X12 EDI instead.

Don't use the lockbox address as the billing provider's address. The billing provider's address must be its physical street address, such as the clinic or corporate headquarters.

Give the address to payers

Payers typically send payments and claims-related mail to the pay-to address on the claim. Some payers mail to the address they have on file for the provider instead. If a payer keeps sending mail to a previous address, contact the payer to update the address they have on file.

When you give payers the lockbox address, include the full address exactly as it appears on the lockbox's details page, including the recipient name and both address lines.
